Terms & Conditions

 

Please ensure you read our T&Cs prior to making a booking.

General 

The rental arrangements are made by “the Owner” of The Lodge and the contractual relationship is directly between the owner and the customer. 

 

Making a Booking

·    You must be 18 years of age or over to book accommodation at The Lodge.

·    The maximum number of guests is 10 persons unless agreed with the owners in advance. 

·    A deposit of 25% is payable via credit/debit card at the time of booking.

·    The balance payment is due 8 weeks prior to your arrival date and we will send you an online invoice when this becomes due. Alternatively, if you wish to pay the balance prior to this please contact us.

·    Bookings made within 8 weeks of the arrival date are payable in full at the time of booking. Therefore within 24 hours of paying the 25% deposit we will send you an online invoice for the balance payment 

·    If full payment has not been received within 8 weeks of your arrival date, we reserve the right to cancel your booking and your deposit will not be refunded.

·    It is strongly recommended that you are protected by holiday / travel insurance prior to making your booking.

 

Booking Confirmation 


When you submit a booking via the online booking system you will receive an automatic booking summary via email, and a separate email confirming your card payment.

All emails will be sent to the address provided by you in the booking form. When you receive each email please check all details carefully and contact us immediately if you find any discrepancies.

All bookings are provisional until payment has been received in full. 

 

Payment Methods


Payment must be made by debit or credit card via our automated online booking system. You will not be charged any credit or debit card surcharges.

 

Arrival and Departure Times


Your accommodation will be ready for you by 17:00pm on the day of arrival and must be vacated by 9.30am on day of departure, unless otherwise agreed. 

 

Accommodation Care


You agree to keep your accommodation clean and tidy and leave it in such condition at the point of departure. Any damages must be reported to us prior to your departure. Accommodation left in an excessively dirty or inappropriate state may be subject to an additional cleaning surcharge.

 

Damages


We maintain a comprehensive inventory of all of the contents of The Lodge, both practical and decorative. Guests will be required to pay for any damage to such items and will be charged for any item that is removed or lost.

 

Pets


Pets are permitted at The Lodge.  There is an additional cleaning charge per pet.  We ask that pets abide by the rules set out in the welcome guide.  

 

Smoking


Smoking is not permitted inside your accommodation. Smoking is permitted outside of the building. Please dispose of cigarette butts.

If it is evident that guests have been smoking within the accommodation, we reserve the right to charge for any fumigation required.

Care must be taken when smoking and disposing of cigarette butts especially in the warmer months as foliage can be flammable.

 

Candles


Due to the high risk of fire, we ask that candles are never left unattended at The Lodge.

Fires


Guests are not permitted to make camp fires anywhere on The Lodge site.  A fire pit is provided for your enjoyment.

 

Utilities


Should there be a failure in a utility or service (such as water, heating, electricity, WiFi, sewerage) please notify us immediately and we will aim to restore the service/utility as quickly as possible.

Should any failure of service/utility provided extend beyond a 12 hour period from notification, compensation will be proportionate to the loss of enjoyment suffered, unless the reason for the failure in a utility or service is beyond our control.

 

Hot Tub Safety


The hot tub is emptied, cleaned and refilled regularly, therefore the hot tub may not always be up to temperature until late evening / early next morning on arrival days.


To ensure the safe and enjoyable use of the hot tubs we request that you read through and adhere to the rules of this safety document.

·    We do not advise use of the hot tub during pregnancy, please contact your doctor for advice before entering the water.

·    People with skin, ear, genital or other body infections, open sores, or wounds should not use the hot tub because of the possibility of spreading infection or irritating your condition.

·    Persons with heart disease, diabetes, low or high blood pressure, or any serious illness should not enter the hot tub without prior consultation with their doctor.

·    Never use the hot tub while using or after using narcotics or other drugs that may cause sleepiness, drowsiness or raise/lower blood pressure.

·    The heat of the hot tub water speeds up the effects of alcohol and can cause sleepiness, dizziness and unconsciousness.

·    Avoid using the hot tub immediately after a heavy meal.

·    At 39-40°C limit your time in the hot tub to a maximum of 20 minutes.

·    Do not immerse your head in the hot tub water.

·    Never use the hot tub alone.

·    Take care when entering and leaving the hot tub. When leaving the hot tub leg muscles may be relaxed enough to make you unsteady.

·    Never use glass near/in the hot tub.

·    Do not use any electrical appliances near/in the hot tub.

·    If any fault or damage occurs with the hot tub, please contact us at the earliest convenient moment.

·    Parents are advised that the hot tubs are not suitable for children under the age of four and to warn their children not to allow water in to their mouths as this can cause infection and illness.

·    Shower with soap and water before and after using the hot tub. Showering before use washes away many of the common skin bacteria and removes lotions, deodorants, creams etc which reduce the effectiveness of the spa sanitizer which disinfects the water.

·    Never allow children to use the spa or hot tub unsupervised and when not in use, make sure the cover is on and secured.

·    Do not sit or walk on the hot tub cover.

·    Avoid entering the hot tub water immediately after exercising as the water temperature can affect the heart rate.

·    Take care on the decking/hot tub steps as water from the tub can cause it to be slippery.

·    If any allergic reaction occurs leave the hot tub and rinse off in the shower. If the reaction persists go to a local doctor or A&E.

·    Do not turn hot tub isolation switch off as the hot tub’s power needs to be turned on to carry out the cleaning cycles.

 

Swimming Pool Safety

 

Clients use the pool at their own risk.  Please ensure children are fully supervised when using the pool.  For your own safety – no running or diving.

 

Note to parents and hot tub/pool users


It is your responsibility to enforce the rules of safety within the hot tub and pool. When you book in to The Lodge we will refer you to the hot tub/pool safety document in the welcome guide and this will give you further info on safety whilst using the hot tub and pool, the document is also in the Information Folder in the house.

Parents


The life and health of you, your family and friends are important. Please practice safety and supervise the hot tub/pool.

 

Cancellation Policy

In the event you need to cancel your booking for any reason after the grace period, the following shall apply:

·    Bookings cancelled 12 weeks or more prior to arrival date will receive a full refund;

·    Bookings cancelled 8 weeks or more prior to arrival date forfeit 25% of the full booking price;

·    Bookings cancelled with less than 8 weeks prior to arrival date receive no refund.

·    Please note – if you pay a deposit but full payment has not been received within 8 weeks of your arrival date, we reserve the right to cancel your booking and your deposit will not be refunded.

·    We must be notified in writing should you need to cancel your booking.

·    We reserve the right to cancel bookings at any time if guests are found to be disruptive, rude, obstructive, abusive and/or break the terms of their bookings contract. In such circumstances, guests will be required to vacate the accommodation immediately and no refund will be payable to the guest/s for the unexpired part of their stay.

·    It is strongly recommended that you are protected by holiday / travel insurance to cover the above costs.

 

Booking Amendments


After the grace period has expired any requests to rearrange your booking will be at our discretion. We regret that any request to amend booking dates within 8 weeks of your arrival date will not be permitted under any circumstances. If you are no longer able to stay this will be classed as a cancellation as detailed above.

 

Environmental Considerations


Please be mindful that The Lodge is based in a countryside setting and we ask that you keep noise levels to an appropriate level (including the use of music) when on the premises.

We have provided recycling bins for your waste and ask that you separate waste into these bins accordingly.

 

Personal Property


We will not be held responsible for any loss or damage to any property on The Lodge premises. Vehicles, accessories and contents are left at the owner’s risk. It is recommended that your holiday insurance covers loss or damage to personal effects.

 

Items Left Behind


If the item left behind can be posted we will arrange its return to you, subject to you covering the postage and packing costs. If an item left behind cannot be posted then we will keep the item for 14 days to enable you to arrange collection.

  

Availability


Each booking is made in good faith with the belief that your accommodation will be available to you on the date stated. If for any reason due to circumstances out of our control your accommodation is not available, we will refund your deposit and balance payment in full and you will have no further claim.

 

Adverse Travel Conditions & Inclement Weather


We hold no responsibility for guests unable to attend their accommodation due to extreme weather or traffic conditions (i.e. snow, flooding, wind, road congestion etc.). If a guest is unable to reach The Lodge due to poor weather conditions or travel issues, they will lose their full payment and an alternative break will not be offered. Please ensure you have full travel insurance to cover such an instance.

 

Restrictions on Rental


We reserve the right to remove any person or persons from the accommodation due to unreasonable behaviour, or any behaviour that adversely impairs the enjoyment of other guests (including excessive noise), damage to the property or exceeding the stated occupancy. In such circumstances, guests will be required to vacate their accommodation immediately and no refund will be payable to the guest/s for the unexpired part of their stay.

It is a condition of booking that The Lodge may only be occupied by the person named in the booking and/or their companions. The Lodge may not be sub-let to a third party. If this is found to be the case, the third party will have no legal right of occupancy and will be required to vacate the accommodation immediately.

 

Force Majeure (Extraordinary Circumstances)


In these terms and conditions "Force Majeure" means any circumstances beyond our reasonable control, which we could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, epidemic or pandemic, adverse weather conditions, fire, flood and all similar events outside our control.

If the property is not available for letting as a result of Force Majeure at the commencement of the time booked by you, in such cases booking amendments or refunds will be at our discretion.

In the event that the property becomes unsuitable for letting as a result of Force Majeure during your stay you will be required to vacate the property immediately. Booking amendments or partial refunds for the proportion of your affected stay will be at our discretion.

 We will not be liable for any other claim for loss or damage by you. It is strongly recommended that you are protected by holiday / travel insurance prior to making your booking.
